We use cutting-edge technology (deep learning, computational fluid dynamics, cloud-based computing) combined with advanced clinical expertise to revolutionize the treatment of coronary artery disease. We have a challenging, and exciting opportunity for a talented, highly experienced, Senior Implementation Program Manager (Chief of Staff) with significant experience with strategic planning, program and project management, change management and implementing complex cybersecurity and IT projects within a medium to large-sized global enterprise. This position will report directly to the VP, Information and Security Services and will serve as a critical part of the Information and SecurityServices leadership team.
We are not looking for a typical project manager for this role; we are looking for a program manager and peer leader who can provide strategic planning for the ISS organization and leadership to their peer colleagues. They will establish project lifecycle and change workflows.
We are looking for a strong, charismatic and collaborative strategic program manager who will ensure the enterprise and supporting organizations are communicated with, trained and fully prepared to accept ISS initiatives and implementations.
The Senior Implementation Program Manager (Chief of Staff) role is a senior-level, individual contributor position that is part of the Information and Security Services leadership team and reports directly to the VP of Information and Security Services. This person will work closely with the HeartFlow Technology teams and business unit leaders across the organization and is broken out in to three primary areas:
Job Responsibilities:
  • Strategic Planning Works with the ISS leadership team to prioritize projects at an ISS Department level in addition to team level. Determines 3 to 5 projects to actively pursue at a time and plans out resources to support active projects paying close attention to competing priorities and resource availability. In conjunction with the ISS leaders, develops and maintains the ISS Strategic Plan. Incorporates ISS planning into the larger technology teams strategic planning efforts. In coordination with the VP of Information and Security Services and ISS leadership team manage strategic planning efforts of projects for the coming fiscal year up to 3 years in advance.

  • Program Management Establishes and ensures project lifecycle workflows to formally onboard new projects, (Charter Creation, Risk Evaluation, Requirements Gathering, Resource Planning, etc.) are completed prior to engaging in active project activities (Communications, Resource Assigning, Testing, Acceptance Testing, Technology Support Training, End User Training, Implementation). Tracks and provides status and of all active projects. Ensures project close out activities (Communications, End User Support, Lessons Learned, Close out report, etc.) follow a workflow to ensure consistent and thorough completion of ISS projects.

  • Project Management - Creates detailed project plans, actively manages projects, creates project tasks, schedule meetings, holds project team members accountable for project deliverables. Ensures communication, testing, training. Develops project charters that concisely define project scope, objectives, major stakeholders, constraints, assumptions and risks. Assists in defining project scope and objectives, involves all relevant stakeholders and ensures technical feasibility. Coordinates internal and third party/vendors resources for the flawless execution of projects. Ensures that all projects are delivered on-time, within scope and within budget
  • Change Management Develops and manages the Change Management operational risk program and all associated change management workflows. Partners with applicable stakeholders to identify, assess, manage and mitigate current and emerging risk exposures associated with change and implementation activities and operations. Provides guidance to change management stakeholders and business groups to ensure deficient tasks are mitigated prior to change and implementation approval. Logs and documents all change management outcomes and provides oversight to

  • Special Projects Assist the head of Information and Security Services with ad-hoc employee communications, smaller projects involving the Information and Security Services team (i.e. metrics collection, creating presentations, report preparation, budget planning, etc.)
Skills Needed:
  • 5+ years’ implementation management, solution consulting or experience running a PMO organization for a small to medium sized organization.

  • 8+ years’ combination of program management and technical project management experience managing multiple, complex projects at a time.
