Position: Executive Assistant
Working Hours: Monday-Friday, 9am-6pm (EST)
Salary Range: 1600 - 2200 USD
Scope of role:
We are seeking a dynamic and highly organized individual to join our team as an Executive Assistant. In this role, you will be providing crucial support to our CEO in managing day-to-day tasks, coordinating schedules, making travel arrangements, and handling various responsibilities that contribute to the smooth functioning of our executive's professional and personal life.
Responsibilities
- Efficiently organize and coordinate the CEO's daily schedule, ensuring all appointments and commitments are appropriately managed.
- Take charge of travel arrangements, including booking flights, hotels, and transportation, to ensure seamless and stress-free travel experiences.
- Assist in prioritizing tasks and projects, ensuring deadlines are met and objectives are achieved efficiently.
- Maintain organized and up-to-date documentation, including meeting notes, travel itineraries, and other essential records.
- Assist in planning and coordinating events, both professional and personal, as required by the CEO.
- Handle personal tasks to enhance the CEO's daily efficiency and productivity.
- Identify relevant industry conferences and organize special events and dinners around conferences and with investors.
- Oversee and execute corporate social media efforts to enhance the company's online presence.
- Oversee scheduling and administrative elements around BEYOND podcast.
- Monitor and organize the CEO's email inbox to ensure timely responses and prioritization.
- Organize and oversee the active and prospective investor database, integrating touchpoints through various channels.
- Research and identify relevant international investors (HNW amp; institutional), organizing the best means of contact.
- Oversee the execution of the company's website and brand revamp, and research and identify third-party marketers for introductions.
- Oversee the production of quarterly and annual releases to the public and investor base.
- Implement payroll and manage expense reimbursements efficiently
Requirements
- 4+ years of experience working as an executive assistant dealing with project management responsibilities. (Must have)
- Good expertise using Google Suite, Monday.com or any project management software, and MS Office. (Must have)
- Proficient English Speaker. (Must have)
- Bachelor’s degree in Business, finance, marketing, management, engineering.
- Exceptional organizational and time-management skills.
- Strong interpersonal and communication skills.
- Discretion and the ability to handle confidential information with professionalism.
- Ability to adapt and work in a fast-paced environment.
