Job Description

Position: Operations Specialist

Working Hours: Monday to Friday, 40-hour per week; flexible between 7:00 am and 8:30 am to 3:30 pm and 5:00 pm EST (must be available to collaborate with the client during daytime hours)

Salary: 1,500USD to 1800USD

We are a Canadian civil construction company specializing in underground horizontal directional drilling (HDD). We support landowners, businesses, and telecom companies with turnkey construction services for underground utilities and fiber-to-the-home (FTTH) networks. We excel by managing lean and highly productive teams aided by in-house software to automate project information and tracking.

Summary of Position:

We are seeking a full-time Operations Specialist to bolster our operations team. In this role, you will start by learning two key duties: 1. Manage Utility Locates: Learn and contribute to the planning, requesting, and organizing of utility locatesa critical step in our operations. 2. Coordinate Drop Teams: Help schedule and coordinate two drop teams responsible for installing the final fiber lines to homes and businesses, enabling them to access fiber internet services.

Beyond these core duties, you will engage in various operational tasks to support the team. Working closely with experienced managers, you will gain insights into strategic decision-making and develop managerial skills. You will learn to use different proprietary software on the job. You will also be using Microsoft Office products like Teams, Outlook, and Excel. It is preferred that you have intermediate skills in Excel.

Responsibilities

  • Understand Our Business: Participate in training calls with team members and ask questions to understand what we do and the flow of our work in the field.
  • Data Entry and Analysis: Perform data entry of installation details, which requires frequently reading and interpreting maps and construction plans to collect data.
  • Scheduling and Dispatching: Help coordinate team members for upcoming appointments, which requires a solid ability to judge, prioritize, and schedule work. Over time, this will become one of your primary responsibilities.
  • Utility Locate Management: Undergo training on utility locates and take charge of planning, submitting, and organizing locates. This will also evolve to be one of your primary responsibilities.
  • Reporting and Documentation: Manage documents and maintenance schedules for our specialized equipment and update daily operational reporting.
  • Inventory Tracking: Monitor and document inventory levels based on daily notes from our teams in the field.
  • Communication and Updates: Provide internal updates on upcoming work and handle requests from team members regarding issues in the field.
  • Ad Hoc Tasks: Manage other tasks and responsibilities as required to help the team, with the potential to evolve into helping manage a broader range of activities within the organization.

Requirements

  • At least 1 year of work experience using similar skills (can be less, depending on the quality of their experience)
  • Strong Communication Skills: Fluent in English, both written and verbal, with excellent interpersonal skills.
  • Background in the construction industry is a plus.
  • Proficiency in basic Office programs, especially Excel, is desired. (The candidate should be capable of creating formatted reports and using essential formulas for data calculations and summarization.)
  • Familiarity with Google Maps and PDF Navigation: (While prior experience in this area is not mandatory, the candidate should be comfortable using maps and developing a sense of cardinal directions and geography.)
  • Adept in Project Management: They are looking for someone with the potential to become a good project manager in the future.
  • Organizational Acumen: Strong organizational abilities to manage schedules and tasks effectively for yourself and others.
  • Attention to Detail: Keen eye for detail, particularly in reading maps, construction plans, and work schedules.
